In my workshops, I’m often asked, “How do I tailor my message when I’m talking to a room full of different styles?”

Great question.

Whether you're giving a presentation or writing an email, you can speak to everyone, no matter their communication style.

Here’s the simple formula I use (and coach others to use):

1. Start with the bottom line (for D-styles)

Get to the point first.

What’s the result? The decision? The key takeaway?

“We’re launching the new service next month to improve customer retention.”

D-styles are listening for results. If you bury the lead, they’re gone.

2. Add energy and shared impact (for i-styles)

These folks want to feel momentum and connection.

Add a little praise, energy, or people-impact.

“This is a win for our clients and a big step forward for the team.”

Now they’re listening.

3. Provide the logic and process (for C-styles)

Give the facts, the rationale, the plan.

(Use headers if you're writing.)

Don’t expect everyone to read it — but C-styles will.

“Here’s how we’re rolling it out:

  • Week 1: Client onboarding materials

  • Week 2: Internal training

  • Week 3: Metrics review and adjustment.”

4. End with support (for S-styles)

They’ll appreciate reassurance, stability, and your availability.

Be kind, be open, be consistent.

“Let me know if you have questions. My door’s always open.”

Why this works:

D- and i-style folks may tune out fast. They want to know: What’s the point? How does this move the needle?

C- and S-styles may need more data, more context, or more reassurance — and they’ll stick around for it.

Example: New Policy Announcement

“Starting April 1, we’re updating our time-off request process to reduce delays. (D) This change will make it easier for you—and your managers—to plan ahead. (i) See attached guide for the updated workflow, key deadlines, and FAQs. (C) If you have any questions, reach out directly—I’m happy to walk you through it. (S)”
