If you’re leading a meeting (and you should be, no matter your experience level), you’re shaping culture. Every eye is on you to set the tone, drive focus, and create space for the right voices to emerge.
Tune into not just what’s being said, but how your team is showing up. Start with curiosity. Observe patterns.
Who talks the most? Do they dominate or invite others in?
Who rarely speaks? Are they disengaged or overshadowed?
Do people jump to solutions too quickly?
Are side conversations happening?
Are people multitasking or checked out?
Is someone constantly interrupting?
Each behavior has a ripple effect because it’s signaling to the group what’s acceptable and not.
You have the power to shift culture by naming behaviors, describing the impact, and making a clear request for “start” or “stop” behaviors.
Name the behavior: “I’ve noticed we tend to jump to solutions quickly…”
Describe the impact: “…and sometimes miss the real issue or input from quieter voices.”
Make a request: “Let’s take a few minutes next time to fully understand the challenge before we start solving.”
Or:
Name the behavior: “I’ve seen some folks checking out during meetings…”
Describe the impact: “…which makes it harder to collaborate and align.”
Make a request: “Let’s each stay present, and if we don’t need to be in a meeting, let’s speak up so we can use our time better.”
The biggest opportunity to improve meetings isn’t always in the agenda—it’s in the behaviors.
