1. The Reframe
Instead of: “I’m at capacity right now.”
Say: “I’m prioritizing X and Y this week. If this is more urgent, I can shift focus. Which should I deprioritize?”
Signal: You’re positioning this as a resource decision, not a personal breaking point.
2. The Quality Guard
Instead of: “I don’t have time for this.”
Say: “I want to give this the attention it deserves. My current commitments wrap up by [Date]. Can we tackle it then, or should someone else take point now?”
Signal: You aren't blocking work; you’re protecting the quality of the output.
3. The Visibility Filter
Instead of: “I’m swamped.”
Say: “Here is what’s on my plate: [List top 3]. To add this, help me understand where it ranks so I can adjust accordingly.”
Signal: You’re providing visibility and asking for alignment, not complaining about a heavy workload.
4. The Impact Pivot
Instead of: “I can’t take on anything else.”
Say: “I’m at full bandwidth on high-impact work right now. If this is a priority, let's discuss what can be paused or delegated to make room.”
Signal: You’re framing yourself as a person focused on outcomes, not just tasks.
